Tasks
Tasks is every agent's work that waits on you, in one place: what they want you to approve, what only you can do, and the shoppers waiting for a person. It lives at Workspace → Tasks. The first five of To do are also on your home page, under Tasks.
It has two tabs. Board shows the tasks in three lanes, To do, In progress and Done. List shows every task as a row of a table, closed ones included, with a Status filter. What ran at once and never waited on you is not a task: it is on Activity, under Tasks in the sidebar.
What kinds of task are there?
Every task is one of three, by what you do with it:
| Kind | What it means |
|---|---|
| Reply | A shopper asked for a person. It opens the conversation in the inbox. |
| Review | An agent made something: a proposal, an article, a campaign, an outreach email. You read it, then approve it, change it or turn it down. |
| Do | Work only you can do, maybe over days: fix a page, add a profile, follow up with a site. |
To do lists them in that order: someone waiting first, then what an agent made, then your own work.
What lands here?
| From | Tasks |
|---|---|
| Every agent | What it proposes and waits for you to approve |
| GEO agent | What the AI visibility checks found, and checks of your site (llms.txt, AI crawler access, FAQPage structured data, a Wikidata entry) |
| SEO agent | Search findings and site issues, and articles it wrote that wait for your review |
| Email agent | Campaigns it planned that are still drafts |
| Chat agent | Shoppers waiting for a person, and questions it could not answer |
| Outreach | An email drafted and not sent, a follow-up that fell due, a listing not live two weeks after you submitted it |
| Setup | The steps left to set up your workspace |
Kooga never sees your mailbox, so a reply to an outreach email is only known when you mark it on GEO agent → Outreach.
How do I move a task?
A card shows whose task it is, what it is and when. Its lane is its status, so it has no other label and no buttons: click it to open the task.
The opened task has its status at the top, as in Jira. Every task moves between the same three, To do, In progress and Done, from that menu or by dragging its card. In progress only marks it as yours: nothing runs. Done means it is handled, and does what that means for the task:
| Task | Done |
|---|---|
| Work you do | Marks it done |
| Something an agent made | Approves it: the agent carries it out. A failed one is tried again |
| A draft Kooga wrote of what it knows | Confirms it looks right |
| A shopper waiting | Closes the request in the inbox. In progress marks it opened |
Where Done runs something, the menu says what, and dropping the card on Done asks first. The same menu snoozes a task or turns it down. Its one other button, at the foot, does the work where there is some: Write the article, Open where it is done, Reply or Undo.
Drag cards within a lane to put them in your own order, which is kept. A task done where it lives (an article published, an email sent, a setup step finished) closes itself, and what an agent carried out is put back with Undo, not by dragging it.
What can I filter by?
Status, Agent, Category and Priority, each taking several values, and a search. On the Board, Status picks among its three lanes; in List it reaches every status, snoozed and dismissed included. The filters are kept in the address, so a link to "Tasks, GEO only" opens just those, and Reset filters clears them all.
Done shows what closed in the last 30 days. The period select sets how far back closed tasks go (7, 30 or 90 days, or all time) on both tabs. It never hides an open task.
How do I put a task off?
Open the Dismiss menu and choose Snooze: for a day, a week or a month. Search findings and GEO tasks can also wait until it changes: they come back when the numbers behind them move. A snoozed task leaves the Board and waits in List, with the date it comes back, and Bring back returns it early.
Not right for my store and Already taken care of turn it down for good. The agents read why before raising anything like it again.
When do tasks leave on their own?
| Task | Leaves To do when |
|---|---|
| An agent's proposal | 10 days pass |
| A campaign Kooga planned | Its send date passes |
| An article waiting for review | 30 days pass |
| A shopper waiting for a person | 7 days pass |
| Do tasks | Never by time: they leave when fixed or no longer true |
How are GEO tasks prioritised?
Each is marked High, Medium or Low. Their cards keep their own controls: Re-check at the top of the page looks again at once, and a check that passes closes its card.
Many are articles worth writing so AI engines start finding and citing you. Create blog article asks for a target keyword (it suggests some, and you can type your own) and a language, then drafts the article into Articles, following your brand voice and your normal review step. It does not publish itself, and it counts against your monthly allowance: 20 SEO articles / month on Growth, see Plans.
When a competitor you track has products on ChatGPT's product cards for one of your prompts and you have none, the task names the competitor and opens Shopping.
Practice that helps every site and that Kooga cannot check on yours (answer blocks, statistics, original data, Bing) is not a task: it is the Playbook on AI Visibility.
How do I change what needs my approval?
On the Rules page (Settings → Rules, or the Rules button on this page), which sets how far the AI may go for each kind of action: Ask me first means it proposes and you approve, Do it and tell me means it acts and what it did is on Activity. Pause everything on the same page stops all of it at once, and Guardrails set the limits the agents work inside. See choose your autonomy.
Why did an agent run on a day it is not scheduled?
Because something changed. Besides its weekly pass, an agent looks again when Kooga sees, in your own data, something it owns:
| What changed | What happens |
|---|---|
| A keyword you track fell three or more places below its best, on two checks in a row | The SEO agent looks at it |
| A published article got far fewer search clicks than in the two weeks before | The SEO agent looks at it |
| Your first AI visibility check finished | The GEO agent makes its first pass on real answers |
| An AI visibility check named your brand at least ten points less than the one before, on the same questions | The GEO agent looks at it |
| A keyword you track reached Google's top three, on two checks in a row | You get a note in the bell |
| Your products show up in ChatGPT's shopping cards at most half as often as in the weeks before | You get a note in the bell |
| Email sending was paused because too many recipients marked it as spam | You get a note in the bell, with what is broken |
A run is about that one thing, and its note on Maestro says Why now. It proposes what you would approve on any other day. The same thing is not raised again for a week.
When no agent can act on it (with the agents switched off, or when today's allowance is used), the note says what moved and where to look, and nothing is started. To hear about it by email, switch on Something changed in your account's email settings.
Where did the weekly report and the agents' notes go?
The weekly report arrives in the bell and opens there. Each agent's latest note is on Maestro, above the chat.
Why is it empty?
Because nothing waits on you. Tasks appear as the agents work and as shoppers browse, ask and order.
